Filter DVD's by collection to print |

| Posted: | | | | I am looking to see if I can filter the database to run a report on only items that have a "1" in the collection number field. This field is being used to show which CASE the actual DVD is in. Then to run a report to print out that shows all the DVD's in that case. If I run a report.. I can SORT by that field but it will still print out ALL the titles... I only need to display one case at a time for a proper filtered report. Another would be to filter on Genra... to get a print out of just PG rated movies and nothing else. Does anyone have any idea how to make this work? |

| Posted: | | | | I may be wrong, but what might work better than filtering your collection, is to flag those profiles you want on the report. If you sort your collection by collection number then use a combination of the commands found under the Flags sub-menu in the Collection menu, you should be able to fairly easily flag only those titles you want to print. Then in the Reports window, select the option to report "Flagged entries only". Hope this helps!
And as Max says, look into the location/slot fields (under Personalise) you may find them better than using the collection number. |

| Posted: | | | | I have used the Location as this... I have 3 sets of numbers that indicate where the DVD is located (example 2-4-67) The first 2 is the cabinet or book shelf. The second 4 is the shelf it is on. Then the 67 is the location of the DVD on that shelf... the 67th DVD on that shelf. This sorts easily and makes it EASY to lookup a movie and find where it is. I have over 1,500 of them so knowing where they are to get is important. On the Personal Information, I put the cabinet number in the Collection Number field, in this case 2. Now I need to print out a report of all the DVD's in that cabinet (or all the ones that equal 2). I cannot seem to figure out how to make it only print those out with 2 in the Collection Number field. I could FLAG them but it would take a LOT of work to do that. Then I will have to do it again when I get a new movie in that cabinet.
How can I filter on the Collection Number field? If I can do it by the SLOT field, I will gladly go back and enter the proper cabinet numbers in the SLOT field. Currently they are all empty.

I may not be reading this correctly but what I'm seeing is that rather than using the Collection number as intended you're using it as a cabinet location. My suggestion is based on that assumption.
First, click on the "Coll #" heading in the "Collection List" window to group all similarly numbered DVDs together.
Next, click on the first DVD you wish to include in the report and hold down CTRL and press the up arrow key. This will flag all reports above.
Then, go to the last DVD you want to include and press CTRL and down arrow. Now all DVDs you don't wish to include are flagged.
Finally, press "Shift+Ctrl+I" to invert the flags so that the ones you wish are flagged.
Now, when you go to Reports select the Option "Flagged entries only".

Personally, I've put all my DVDs in binders and have numbered the binders sequentially. I put the binder number in the location field and then flag as I suggested above, except I sort on the "Disc location" column, for reports. |
